Cancellation and data export
You can cancel your instance (your development server) yourself. Back up your data beforehand. After the retention period, the data is deleted.
Back up your data first
Section titled “Back up your data first”With the backup (a safety copy) you download your project to your own computer. Do this for every project.
- Open your project.
- Open the Backups section.
- Click Create backup.
- Click Download.
Back up now on the service page (instance page in my.envbay.com) does not replace this. It only saves the instance settings, not your project files.
Another instance opens the project settings only with the secret key of your instance. Envbay does not display it. More in the chapter Backups.
Then cancel
Section titled “Then cancel”- Log in at my.envbay.com.
- Click Instances.
- Click your instance.
- Click Cancel instance.
- Choose the time: at the end of the billing period or Cancel immediately.
- Type in the reason for cancelling.
- Confirm the cancellation.
After cancellation we switch off the instance. We keep the data for another 14 days and then delete it. Do you still need something in this time? Write a ticket (a message to support) immediately. The steps are in the Help chapter.
You do not need to cancel a trial instance (Free plan). It ends with the trial, see Plans and limits.
Refunds
Section titled “Refunds”Cancelling does not trigger a refund. We only refund when we decide to.
If we refund money, we pay it back to your original payment method. This can take a few days.
You then get a credit note (a refund document) by email as a PDF. You also find it in my.envbay.com on your invoice under Refunds. Your original invoice stays unchanged.
If something does not work
Section titled “If something does not work”- The button is missing: The instance may be locked or already cancelled. Write us a ticket.
- The backup will not load: Read the Backups chapter. If that does not help, write us a ticket.
Export data
Section titled “Export data”Back up each project with the Envoryx backup and download it (Backups → Create backup → Download). The .tar contains database dumps (database.sql.gz), the project directory (without vendor/ and node_modules/), the object storage and the project settings. The data of Redis, OpenSearch, Meilisearch, Typesense and RabbitMQ is not included; if needed, export it with the tools of the respective service. The backup contains credentials and tokens: keep it like a secret. Details: Project backups.
Back up now on the service page is an instance backup (accounts, settings, project list) and not a project export; see Backups. Restoring into another Envoryx instance works from Envoryx 0.45.0 with Restore into a new project. For that you enter the secret key of your Envbay instance, which protects the settings in the backup. Envbay does not display it; Envoryx shows it to admins under Settings → Secret key → Show key after they confirm their password (according to the Envoryx documentation; with single sign-on accounts, after a sign-in within the last 10 minutes). Keep a copy outside Envoryx. Without the key, the target instance cannot open the project settings; the database dump and project directory stay usable. Details: Backups. Also keep your source code in its own Git repository.
Cancel
Section titled “Cancel”- Log in at my.envbay.com and open the instance under Instances.
- Select Cancel instance.
- Select the When to cancel: at the end of the billing period or Cancel immediately.
- Enter the Reason for cancelling (required field) and confirm.
Until the end of the billing period, the instance shows Cancellation pending. The cancellation terms and the right of withdrawal are in the terms and conditions and the withdrawal notice.
What happens after cancellation
Section titled “What happens after cancellation”- Envbay records the usage of the current month for billing, stops the container and removes the instance from management. The starting password of the first admin is removed.
- The instance name remains reserved for 14 days, and the data is kept during this time. The period starts on the day of decommissioning.
- Afterwards, the instance, projects, databases, addresses and firewall entries are irreversibly dismantled.
- If you still need anything from the instance within these 14 days, open a ticket immediately. This handbook cannot promise a handover during this time; the terms and conditions are binding.
- A trial instance (Free plan) ends with the trial without cancellation and is deleted 14 days after it ends, see Plans and limits.
- What happens to copies in off-site storage is not covered by this handbook; if in doubt, ask by ticket before cancelling.
Refunds
Section titled “Refunds”A refund is made only on Envbay’s decision; cancelling alone does not give rise to one. Statutory rights such as the right of withdrawal remain unaffected, see the terms and conditions and the withdrawal notice.
- The money goes back to the original payment method (for PayPal, automatically to PayPal); depending on the provider it takes a few days.
- The paid invoice stays unchanged as “Paid”. Envbay issues a credit note as a separate document with its own number (
GS-envbay-YEAR-0001), negative amounts and a reference to the invoice number. - The credit note arrives as a PDF by email and can be downloaded in my.envbay.com on the invoice under Refunds. The invoice also carries the marker Partially refunded or Refunded.
- Partial refunds are possible; no more than the paid amount is ever refunded.
